Bid Matching

My campus does bid matching by hand right after pref. (we only have about 90 or so girls to match to three sororities, so it's not too bad) Our rules state that only two advisors from each sorority are to attend, unless there is a national officer present.
My question is, is this something my campus came up with, or are there national NPC regulations about how many alum/advisors can be present and do bid matching ??

The Green Book says " People attending Bid Matching include the reader, the tabulator and at least one alumna to handle the bid list for each sorority".

I have seen other CPH's make the rule of "no more than two unless there is a national visitor". I presume those campuses have had problems with too many showing up and slowing the process or space limitations in the room where matching is going to occur.

That's how it is at Pitt, with the occasional exception. Once, all of our alumnae who were used to bid matching was either stepping down or moving, so a third alumna was allowed to sit in, to learn how to do it. In a twist of fate, another sorority's alumnae didn't show up, so the third alumna and the Greek Advisor "served" for that sorority.

Limiting the number of women in the room could also be due to logistics - you always know how many people will be there and can reserve a room that comfortably fits everyone. Additionally, bid matching is a secret process and the more people you have present, the more people there are to open their mouths and start talking later. If there is a leak, you have a good idea of who could've done it.

My school's Panhellenic only allows:

*The Greek Advisor (oversees everything and makes sure it goes smoothly)
*The Greek Life grad assistant (works the computer program that does the matching)
*2 advisors from each chapter (to get the lists to their chapters after everything is done)
*The Panhellenic VP of Recruitment (so she can get started making bid cards as soon as the lists are made)

We don't allow anyone else because no one else really *needs* to be there. The room is not that big so there's no room for random alumnae who want to "spectate".
