Recruitment Tracking
Fellow Greeks,
I am a newly elected recruitment chair for my chapter of Beta Theta Pi. I was wondering how your chapters tracked potential recruits during the recruitment process.
Any and all idea welcome.

Do you mean what your return rate is? Have them sign a guest book and compare it from night to night.

No, I'm looking more for a way to present organized information to the whole chapter during the meetings that is efficient and detailed, we currently use a spreadsheet, but it is not an easy way to do it.

I would use a form template in word where you can fill out all of the information you want to present (basics, grades, hobbies and interests). Don't forget to mark the brothers they've been in contact with!
I don't know why the spreadsheet isn't working for you - I'm having a hard time locating a good spreadsheet template at the moment but I'll post it if I find it.

The IFC at USC has recently implemented a new recruitment/rush software that tracks recruits as they sign in to your chapter, replacing pen and paper and/or spreadsheets.
Rushees come to your house, they fill out all their information on a laptop and [optionally] take their photo with the laptop's web cam. All the information can be turned into a slideshow with a single click. Rushee information, attendance, photos, and comments are all tracked.
It's designed for use with entire greek communities and by IFC councils, as it also automates the bidding process

Maybe I'm just old fashioned but this sounds hella creepy. I think it's the "web cam" part.

Haha, I suppose. Nearly every IFC chapter I have spoken with (at large universities) uses a digital camera to take pictures of potential new members at some point during the rush process. Using a web camera just simplifies the process and requires less external hardware. It's also optional.
It's not too different from the online software that most Panhellenic councils use for sorority recruitment. Many also require PNMs to submit a photo during registration.
As for the other things, it's just a digital version of a pen and paper system.

While some schools do require digitized photos, that's going to the Panhellenic council, not the individual sororities. They are also photos that the rushees themselves submit, not pictures taken by the sorority members when they walk into rush parties (for what it's worth, that is forbidden at some schools). Personally, I'd be squicked out if I was a guy and walked into a party and a bunch of other guys wanted to take pictures of me and put it on a laptop that I have no idea who owns it or controls it. YMMV.

So if the members decide they don't want to bid someone, what do they throw their popcorn and beer at? A computer screen?

At many schools, Panhellenic takes photos of the pnms, puts them all on a disc and each sorority gets a disc to use. It comes in handy when three girls(or more) are coming through with the same name-it happens!

I'd hate to be the poor bastard standing in front of the room holding the laptop.
Again, it's a far different matter for a rushee to submit a picture she has carefully chosen with her way-before-rush application, or to be told she has to appear at a certain time for a photo, than to be accosted with a webcam (or any sort of camera, for that matter) upon walking into a rush party. Rushees are nervous enough without adding "OMG, did I photograph OK?" to their burden.

Or you can just do what my chapter did once. Pass around a laptop with the rushes' facebook account open.
