Yes, this would be an event. A philanthropy event is no different from a Fraternity Education event, a Recruitment event, or Social event.

The standing rule from the HQ is any activity attended by at least 1/4 of the chapter is an event. Of course, you should always err on the side of caution...if it looks like a duck, it probably is. As a result an Event Form must be completed 30 days prior to the event. Whether the event form is kept internal or needs to be approved by the HQ depends on if it meets any of the ANY of the following criteria:

1. Contracts have been/will be signed with a third party vendor (caterer, licensed cash bar, bartenders, rented
facilities, security, bus company, etc.).

2. The event is planned at a site more than 10 miles from the chapter house or campus.

3. The event is planned to exceed six hours in duration.

4. During a similar previous event, an accident or injury occurred.

5. The total number of people, including members, that will be allowed to attend will exceed three times the
chapter membership (the number of associate and active members).

6. The event will be cosponsored with another fraternity or sorority.

7. A third party has asked to be named an additional insured on the Fraternity’s insurance policy.

Any event meeting ANY of these criteria must be sent to the HQ for approval.
