Money Ideas!
 
My chapter is in desperate need of ideas on how to become more organized when it comes to turning in money for different things such as dues, t-shirts, and events. We do not have an official way of doing it and it appears that money is just thrown in the treasurer's face. This is getting old and we need a new method of handling this. I was hoping that you all would be able to give me some ideas on how your chapter handles the money. I would appreciate any ideas!! PLEASE HELP!

May sound odd, but think about PayPal. I know some chapters use it.

Personally, we have a one week period in which to pay dues (unless you have a promissory note worked out) that way they are paid all at once.

The person in charge of the event that t-shirts are made for is responsible for collecting checks for that t-shirt from the members...when she has all of the checks she turns it all over to the vp: finance all at once.

Works pretty well for us.

My chapter has an accountant, and it makes things SOOO easy because she just deals with us directly about dues and rent (if you live in the house) but all the other stuff is handled by the organizer of the event or the Dir of finance. But with the third person who isn't affiliated with Alpha Phi personally, it makes collecting money much more business-like instead of just a nagging sister.

I don't know if that is something that would be right for your chapter, but it might be worth looking into. Also, the Delta Chi's on my campus use Greek Bill...it's an online bill paying service and my friends say it works pretty nicely. Here's the link: http://www.greekbill.com/

Whoever is in charge of the event/t-shirt could print out little order forms (you can put 4 or 5 on a page and cut them) and the treasurer can require that each order form is in an envelope with the money. Get a big basket to pass around at meeting for the sisters to put the envelopes in. (A little cheaper than hiring an accoutant!) That way she knows who the money came from and can organize it all and write up receipts later. For dues, she can print out bills at the beginning of the semester and do it the same way. It will be a little more work for her at first, but it will save her a lot of headache later.

#1: Make sure she writes receipts for EVERYTHING.

#2: Get Quicken or some kind of financial tracking software. Sigma Nu's HQ actually has a special Excel Spreadsheet they've made for chapter treasurers.

Besides that, she just needs to be extremely meticulous. I'm sure you've heard of it before, but have y'all given Omega Finanancial Services a shot? They even take credit cards :D

we use omega and that makes the finacial persons job a whole lot easier.
