Calling all High Iotas
Question Brothers -
Does anyone know Intl's policies regarding philanthropy? Ex: If a Zeta were to do a funds drive for a charity involving both the chapter AND the community at large, AND it was to take place away from both the House and campus, is this still an event? Would we still be liable if there were an injury of some sort? I had an idea last night after a lively dinner discussion with friends regarding charities. My idea is still in it's infancy, but could evolve into a pretty cool Beta event down the road. I came through the "Better to seek forgiveness than permission" era of the Fraternity, so this is new territory. Any help would be great. What ever it is, you had better have it cleared through Hdq. My Zeta did one and was told by Hdq. not to do it, but did anyway as to close to the event date and were put on Probation. Just a word!:) To the wise from experience!:) |
Yes, this would be an event. A philanthropy event is no different from a Fraternity Education event, a Recruitment event, or Social event.
The standing rule from the HQ is any activity attended by at least 1/4 of the chapter is an event. Of course, you should always err on the side of caution...if it looks like a duck, it probably is. As a result an Event Form must be completed 30 days prior to the event. Whether the event form is kept internal or needs to be approved by the HQ depends on if it meets any of the ANY of the following criteria: 1. Contracts have been/will be signed with a third party vendor (caterer, licensed cash bar, bartenders, rented facilities, security, bus company, etc.). 2. The event is planned at a site more than 10 miles from the chapter house or campus. 3. The event is planned to exceed six hours in duration. 4. During a similar previous event, an accident or injury occurred. 5. The total number of people, including members, that will be allowed to attend will exceed three times the chapter membership (the number of associate and active members). 6. The event will be cosponsored with another fraternity or sorority. 7. A third party has asked to be named an additional insured on the Fraternity’s insurance policy. Guidance from Indy
I received the guidance below (printed in blue, I hope) earlier today from Eric Richards in reference to a risk management presentation that I did for UC Riverside. Apparently the guidance in the Iota Manual that I used is no longer the 'latest and greatest'. The walks like a duck analogy works fairly well, but I can see the unease of an undergraduate chapter in having to deal with this less than definite standard.
The only item I would re-work is the 25% rule for "off-campus" events. We no longer use this rule because we have seen in many instances where a chapter/fraternity has been held liable for fewer people. This rule is: If the chapter/colony implicitly or explicitly hosts and event it IS an event. 25% holds us to a standard we do not always want to have in writing (or presented). |
